Sunbed Safety Policy
Objectives
This policy outlines the procedures and staff training standards that are currently in place to ensure the safety of our sunbed users.
Booking Procedure
Any person wishing to use a sunbed at the Centre must contact Sports Reception.
At this time the customer will be required to complete a Sunbed Client Record Card. This card requires all users to provide contact details and assess their own skin type according to a set scale.
The reverse of the card must be completed, covering all relevant medical information.
The individual must read the disclaimer on the card, which states that those with certain skin types should not use sunbeds and that protective eyewear must be worn whilst using the sunbed. Members of reception staff should not sell a sunbed session to those who have been identified as Skin Type 1 or have shown that their medical history is not conducive to safe use of the sunbeds.
Protective eyewear shall always be available to buy from the Sports Reception.
The customer must then sign the card – only if all answers on the card show that the individual may use the sunbeds safely.
Customers must not be sold a sunbed session less than 24 hours after the previous session.
Customers should be advised by staff to begin with a five minute session and build up to the longer sessions.
Once a customer has had 20 sessions within a year, no further sunbed bookings will be made unless the individual signs a Stevenage Leisure Ltd Sunbed User Disclaimer Form. This form explains that the customer has been made aware that they have reached the recommended maximum 20 sessions per year and that they continue to book sessions at their own risk. The absolute maximum limit is 60 sessions within a year, beyond which customers will no longer be allowed to book.
Access to the Sunbed Suite is controlled by a door card system. Without a door card only a member of staff in possession of the key may enter the Sunbed Suite. One door card will be given to each customer when a session is booked. The customer will be made aware that only one person is allowed in each sunbed cubicle at any one time.
When the customer is booking a sunbed session for the first time, a qualified individual will instruct the customer on safe use of the sunbed and show the customer what to do in the event of an emergency. Each sunbed is fitted with an emergency button. Whenever this button pressed the individual using the sunbed may talk directly to a receptionist and a member of staff will be called to the Sunbed Suite immediately.
The Sunbed Association
Stevenage Leisure Ltd is a member of The Sunbed Association. This means that each year, an audit of the sunbed procedures and facilities will take place. This audit covers staff training and the information given to customers. Stevenage Leisure Ltd’s compliance with Health and Safety Executive and European Guidelines are also checked within the yearly audit.
A physical inspection of the facilities is also made bi-annually. Interviews with staff are undertaken to check procedures and all electrical regulation compliance tests (e.g. PAT tests) are checked during this visit.
Staff Training
All Sports Reception staff, plus additional departmental staff equating to approximately one person on shift, have successfully completed the following course to the appropriate level of proficiency:
The Site Operators Training Instruction of the use of Ultrasun/Gardasun Equipment.
This course also allows staff to give guidance on the use of accelerator creams and other products available for use with the sunbeds.
